Knockout List privacy notice

Who is responsible
McKenna Works LLC, 5900 Balcones Dr Ste 100, Austin, TX 78731, United States, is responsible for the personal information used in Knockout List: the foreman and office app, the crew's links, and the emails we send. "Crew member" here means a person a foreman sends a list to; the app shows the company's own word for them, such as "Plumber" or "Electrician." Write to [email protected].
What we use
About the company's people who sign in (the owner, foremen, office):
- name, work email address, and role;
- the company's name, trade, time zone, and usual end of day;
- a record of each sign-in (no details about the device), so you can sign out on all devices at once. A sign-in ends by itself after 30 days without use.
About jobs: the job's name, address, and customer; its buildings and units; every item (what, where, priority, status, who it is assigned to, who made it and who last changed it, when, including items a foreman checked off himself); photos; the walks you dictate and the draft items made from them; day lists and reports; the "missing" notes.
About crew members:
- the first name the foreman enters;
- what the crew member does on their link or on a crew link: which items they checked and the time of each check, "couldn't do" reasons and notes, items they added, photos they took, missing-material notes, and when they first opened their list.
We do not ask for or keep a crew member's phone number, address, identification number, or anything about pay or employment. The foreman sends the link from his own phone; the app never holds the number it went to.
The crew link: a foreman can send one link to the whole crew for a job's day list instead of one link per person. The first time a crew member opens it, they tap their own first name from the crew the foreman picked for that day, and their phone remembers it. Everyone on that day's crew link sees the whole list and, for each item, who checked it and when, with the notes, photos, "couldn't do" reasons, and missing-material notes that go with it, and the items crew members added that day, with who added them. Picking a name is on trust: the page asks each person to pick only their own. If someone is taken off the crew, the crew link is replaced so the old one stops working. A crew link stops working a few days after its day, and the foreman can turn it off sooner.
Shared units and items on more than one list: a foreman can give one unit to two or more crew members, each with all of it on their own link, and an item can also be on two lists at the same time in other ways: on a crew member's own list and on the crew link, or on two people's lists after the foreman moves it. Then every list the item is on shows its answer (done, or couldn't and why), the time, the first name of the crew member who gave it, and the item's photos (on a crew link, with the first name of who took each one). Notes and missing-material notes stay on the list they were written on. On the crew's pages, a check the foreman makes himself shows as "Foreman"; in the app, the foreman and the office see his name.
Dictated walks: when the foreman taps the microphone in "Dictate a walk," his phone's own speech service (Apple's in Safari, Google's in Chrome) turns his voice into words. We never record or receive audio. We receive the words, and send them, with the names of the job's units and the company's trade, to our AI provider to make draft items for him to check.
Technical information: each device's internet address, which our providers process to deliver the app and protect it. Photos are shrunk on the phone before upload, and their location data (GPS) is removed, on the phone and again when we receive them. When something fails, an error report is made; it carries no item text, names, email addresses, internet addresses, or what was typed or sent.
We do not use sensitive personal information and we do not track location.
What we use it for
- To sign you in with a code we email you.
- To show each crew member their list for the day; on a crew link, to show the day's crew the whole list and who did what; and, where an item is on more than one list, to show each of them who answered it and the item's photos.
- To show the foreman and the office what got done, as it happens and in the day report.
- To turn a dictated walk into draft items, grouped by unit, for the foreman to check.
- To send the app's emails: sign-in codes and invitations.
- To find and fix errors, to know at once when the app is down, and to keep it secure.
- To help when you ask, or when something needs fixing (see "When we help you").
That is everything, and all of it is needed to provide the service. We do not use your information for advertising, we do not sell it, and we do not build profiles. We never use information about a crew member for anything except showing them their list, showing the rest of that day's crew who did what on a crew link or on items they share, and giving their foreman and company the record of the day.
Who else handles it
We do not pass information to other companies for their own use. These providers handle it on our behalf:
| Provider | What for |
|---|---|
| Railway | Hosts the app's service and stores the database, in the United States (Virginia (Railway region US East)) |
| Cloudflare | Answers for our web addresses, serves the web pages, and stores photos (Cloudflare R2), in North America |
| Anthropic | Turns the words of a dictated walk into draft items. We send the words of the walk, the job's unit names, and the company's trade. Anthropic says it does not use what is sent through its API to train its models by default. It keeps requests for up to 30 days. |
| Apple or Google, through your browser | Turn the foreman's voice into words in "Dictate a walk," under their own privacy policies. We never receive the audio. |
| Resend | Sends our emails |
| Sentry | Receives error reports, stored in the United States. Error reports carry no item text, names, email addresses, internet addresses, or request contents. |
When we help you
If you ask us for help, or something in the app needs fixing, McKenna Works may look at your company's information in Knockout List to find the problem. We can only look: we cannot change, assign, send, or delete anything, and we never appear as a member of your company. Every look is recorded (who, when, and which screens) and shown to the owner in More, as "Knockout List support viewed your company on …". Only the company's own support sign-in can do this.
How long we keep it
- While the company uses Knockout List, including photos and closed jobs, so your history is there when you need it.
- The words of a dictated walk are kept with the job for 90 days, so we can check how well the drafts matched what was said, and then deleted, along with anything said in them. The items made from them stay.
- If the owner deletes the company: anytime in the app (More) or at knockoutlist.com/delete-account. Everything is deleted at once.
- If a foreman or office person deletes their own account: their sign-in is deleted; the jobs stay with the company. The owner can also remove a person.
- If a crew member is removed: their name and links are deleted, and any crew link they were on is replaced so their phone can no longer open it. Past reports show "Former" with the company's word for them (for example, "Former plumber"). The owner can also delete their history: their lists, checks, notes, and photos.
- Backups: deleted information disappears from backups within 6 days.
- What we cannot delete right away: error reports, email logs, and AI requests expire on Sentry's, Resend's, and Anthropic's own schedules.
Your rights
Anyone whose information is in Knockout List, including a crew member, can ask to see, correct, or delete it, or object to its use. Write to [email protected] saying what you are asking for and how to identify the company (for example, the owner's email or the company name). We answer within 30 days. A crew member who wants their record deleted can also ask their company's owner, who can do it in the app.
Cookies
The app and the crew's page use no cookies. They keep only what they need on the device: the sign-in, the day's list, anything waiting to send, and, on a crew link, the name picked and the list filter last chosen. The website counts visits with our hosting provider's basic counts, which hold no personal information. Because we do not track you across sites, "Do Not Track" signals change nothing.
Children
Knockout List is for working adults. We do not knowingly collect information from anyone under 18.
Changes
We post any change on this page with its date. If a change affects how we use your information, we email the owner first.
